This Privacy Policy has been adopted by Friends of Music at St Peter’s Eaton Square Limited (Charity No. 1126109) (“Friends of Music”). Friends of Music organises concerts at St Peter’s Eaton Square using the name “Eaton Square Concerts”.

Friends of Music is committed to protecting your privacy.  We ensure that the personal information you give to us is kept secure and confidential, that there is no unauthorised access to it, and that its use is at all times governed by this Privacy Policy, the General Data Protection Regulation 2018 and the Privacy and Electronic Communications Regulations 2003.  This Privacy Policy was adopted by the Board of Directors in May 2018.

What information do we collect?

As a purchaser of a ticket to a concert, as a supporter or as someone who wishes to follow concerts that we put on at St Peter’s Eaton Square, we may ask you to give us personal information.  This may include your name, address, billing address, delivery address, email address and telephone number and your preferences for how you would like us to communicate with you. This information will enable us to fulfil your order for tickets to concerts, to notify you of the status of your order, and to resolve possible queries about your order(s).

We may also use the information you have given us to help us to plan future concerts and support for our concerts. This information may include which concerts you have attended, whether you are a member of our Friend’s Programme, and any donations you may have made.

We do not hold your credit or debit card details in our own computer system at any stage. We process payments for tickets through Paypal or a credit/debit card terminal without retaining your information in our records.

How long do we keep your personal information?

We undertake to review the personal information you have given us periodically to ensure it is still current and needs to be held. You should be aware that we may be legally obliged to hold some of the information for a number of years, for example Gift Aid regulations require appropriate records to be held for seven years. Subject to these legal requirements you may notify Friends of Music at any time that you do not wish your personal information to be held (see below).

Keeping your details safe and secure

When you give us personal information, for example when ordering tickets for a concert or joining our Friends Programme, this information will be recorded in electronic form and is subject to appropriate protection from loss, and from unauthorised access or change.

Sharing your information

We will not disclose any of the personal information you have given us beyond Friends of Music and the organisations which handle the administration of our concerts and our Friends’ Programme.

We do not sell or supply any of the personal information you give to us to anyone else except as required by law.

Where we post or distribute offers from third parties we will not have supplied your personal information to those third parties.

Because data processing and communications using the internet are by their nature international, your personal data may pass through equipment which is not situated in the EU or EEA. This does not affect the commitments in this Policy to protect your privacy.

Third Party Links on our Website

Occasionally, at our discretion, we may include or offer third party products or services on our website. These third-party sites are not operated or controlled by us. They will have separate and independent privacy policies which you are encouraged to consult. We have no responsibility or liability for the content and activities of these linked sites.

Your right to control what we do with your information

You may write to us to ask that the information we hold about you be disclosed to you, be amended in any way you choose, or be deleted. We will confirm in writing (including by email) in due course that the action you have requested has been carried out.  The only exception to this principle is where we are obliged by law to continue to hold specific information.

If we have no trace of your having purchased a ticket, attended a concert or supported us in some way for a period of 5 years we will not contact you again unless you reactivate your contact with us.
